Coaching Expectations, Billing, and Support Guidelines
1. Coaching Program Expectations and Commitment
At Untapped Learning, we believe that real progress begins with the right support system—one rooted in relationships, executive function skill-building, and personalized tools. Our Coaching Program helps students develop the strategies they need to reach their academic and personal goals by addressing the root cause of many common struggles: executive function.
1.1 The REP Framework
Through our REP Framework, students gain the tools, encouragement, and accountability to improve focus, follow-through, and confidence:
- Relational: We build trust and motivation through genuine connection.
- EF Skill-Building: We target executive function challenges with proven, real-world strategies.
- Personalized: We adapt sessions and strategies to each student’s evolving needs.
1.2 What We Ask of Students
Success comes from consistent participation and a willingness to engage. Students are expected to:
- Arrive on time to all scheduled sessions.
- Follow rescheduling and cancellation policies when changes are necessary.
- Bring necessary supplies such as homework, planners, and devices.
- Complete assigned tasks and activities to the best of their ability.
- Respond to communication from their Coach for check-ins and accountability.
1.3 What We Ask of Families
Parents and guardians are crucial coaching partners. We ask that families:
- Communicate consistently with the Student’s Coach to support growth.
- Encourage follow-through at home between sessions.
- View this as a long-term commitment, as developing executive function skills requires time, effort, and repetition.
1.4 Program Access and Consistency
The subscription is designed for consistent, high-impact engagement through our specialized support model:
- 1:1 Coaching: Students receive 60 minutes of 1:1 coaching per week with their designated coach.
- Weekly Limit: Students are seen for 60 minutes per week. Additional sessions are only permitted if explicitly arranged to accommodate a rescheduled session or to provide coverage for a missed appointment.
- Academic Calendar & Blackout Dates: Weekly sessions are subject to the Untapped Learning Academic Calendar. Please note that students will not be seen during designated blackout periods (e.g., Thanksgiving and Winter Break).
- Ongoing Support: The program includes coach check-ins outside of formal sessions to provide reminders and accountability.
- Homework Center: Enrolled students have access to the Homework Center and Office Hours between their formal 1:1 sessions for additional task-initiation support.
1.5 Coach Selection and Scheduling
Families play an active role in building the coaching relationship from the start.
- Initial Selection: Families select their own coach and preferred time slot during the enrollment process.
- Permanent Schedule Changes: If a student needs a permanent change to their weekly time slot, they should coordinate directly with their current coach to identify the best available time.
- Changing Coaches: If a family wishes to transition to a different coach entirely, they must contact the appropriate program lead. For 6th-12th grade students, please contact Karen Wilkinson (kwilkinson@untappedlearning.com). For post-secondary students, please contact Emiko Patterson (epatterson@untappedlearning.com).
1.6 Coach Coverage Policy
We prioritize the strong bond between your student and their primary coach, as it is vital to the success of their program. However, there may be occasions—such as unexpected illness or planned time off—when your regular coach is unavailable. We strive to keep these instances to a minimum to ensure consistent support for your student.
- Coverage Protocol: A session may be covered by another coach at any time, without prior notice. There is no maximum limit on how many times a specific student's sessions may be covered by an alternate coach. If this is ever a concern about coverages, please reach out to Karen at kwilkinson@untappedlearning.com. We are also happy to discuss coaching options or being placed permanently with a new coach.
- Quality Assurance: All coverage coaches are fully Untapped certified and specially trained to run coverage sessions. The coverage coach will always connect with your student’s regular coach beforehand to understand exactly how to best support your student's current goals.
- Support and Concerns: If you ever have questions or concerns regarding session coverage, you are always welcome to speak to Sam Fredricksmeyer (sfredricksmeyer@untappedlearning.com) for 6th-12th grade program support, or Emiko Patterson (epatterson@untappedlearning.com) is the post-secondary program support.
2. Monthly Subscription and Billing Structure
Our program is a monthly recurring subscription designed to provide continuous access to coaching and center resources.
- Initial Payment: The first month’s payment is due at sign up. View the pricing for our programs here.
- Recurring Billing: Following the first payment, your account will be billed automatically every month on the anniversary date of your student’s first coaching session.
- Consistent Monthly Rate: Monthly payments remain constant regardless of the number of weeks in a specific month.
- No Proration: We do not apply proration logic for mid-month starts or holiday breaks.
- Academic Calendar: The subscription rate accounts for scheduled academic breaks and center "blackout dates" (e.g., Thanksgiving and Winter Break). See each program’s academic calendar here.
2.1 The 3-Week Money-Back Guarantee
New students are entitled to a 3-week money-back guarantee. If you are not satisfied within 21 days of the first session, your initial payment will be refunded in full. To claim this refund, 6th-12th grade families should email Karen Wilkinson (kwilkinson@untappedlearning.com), and post-secondary families should email Emiko Patterson (epatterson@untappedlearning.com).
2.2 Ending Your Commitment
- Notice Period: We require at least three (3) business days’ written notice prior to your next billing anniversary. For 6th-12th grade, send notice to Karen Wilkinson (kwilkinson@untappedlearning.com). For post-secondary, send notice to Emiko Patterson (epatterson@untappedlearning.com).
- Selecting a Final Date: You must specify your student’s final session date when giving notice. We highly recommend selecting a date 2-3 weeks out to properly wrap up their coaching experience.
- Final Billing: If your chosen final date falls after your next billing anniversary, your full, non-prorated monthly payment will process, and you will retain full access to services until your selected end date.
- Payment Finality: After a monthly payment has been processed, we are unable to issue refunds. Our team is happy to discuss the best ending date for your student when notice of cancellation is given.
2.3 Rescheduling and Attendance
- 24-Hour Notice: Families must provide at least 24 hours’ advance notice to reschedule a session.
- Late Changes: If less than 24 hours’ notice is provided, the coach will send a weekly plan by email, but the session may not be rescheduled.
- Permanent Schedule Changes: If a student needs a permanent change to their weekly time slot, they should coordinate directly with their current coach to identify the best available time.
- Billing Consistency: Please note that the timing and date of your monthly subscription bill will not change if you complete a permanent schedule change.
- Rescheduling Limits: If more than two sessions are rescheduled in a semester, even with notice, make-up sessions are not guaranteed.
- 7-Day Reschedule Window: To maintain program momentum, any rescheduled session must be completed within seven (7) days of the originally scheduled date. Sessions not completed within this window are forfeited.
- Weather/Restrictions: In cases of poor weather, a virtual session may be arranged at the regular time.
2.4 Homework Center and Office Hours
- Group Setting: These are structured, group work environments and are not equivalent to one-on-one tutoring.
- Environment Standards: Any student who is distracting, disrespectful, or requires continuous individual attention may have their access limited or suspended.
- Subscription Terms: The monthly subscription rate remains constant regardless of a student's eligibility for or use of the Homework Center.
- Booking: Appointments for the Homework Center should be canceled or rescheduled at least 24 hours in advance.
2.5 Continuous Program Pause Policy
Students enrolled in a Continuous Program may request a temporary pause in services under the following conditions:
- Notice Requirement: A pause request requires at least two (2) weeks’ written notice. Please contact Emiko Patterson (epatterson@untappedlearning.com), our post-secondary contact, for these requests. As a reminder, Karen Wilkinson (kwilkinson@untappedlearning.com) is the 6th-12th grade contact.
- The Maintenance Payment: If a billing anniversary falls within the 14-day notice period, that monthly bill will be processed in full as a Maintenance Payment. This payment secures the student’s enrollment status during their absence.
- Duration and Frequency: Programs may be paused for a minimum of 30 days and a maximum of three (3) months. Families are limited to one (1) pause period per 12-month window.
- Return Date & Availability: A specific return date must be confirmed at the time of the pause. While Untapped Learning will make every effort to maintain the student's placement, we cannot guarantee that the same coach or the same specific time slot will be available upon the student's return.
- Extended Absences: If a student does not return by the agreed date or the absence exceeds 3 months, the subscription will be canceled and the spot released.
- Cancellation During Pause: If a family decides to cancel the program while it is in a "paused" state, the notice requirement is considered satisfied by the Maintenance Payment made at the start of the pause. No further bills will be generated, and no refunds will be issued.
3. Safety and Confidentiality Policies
3.1 Confidentiality
All Student interactions, including session content, attendance, progress, and scheduling, are confidential and will not be disclosed without written request from a legal guardian.
3.2 Limits to Confidentiality
Untapped Learning is legally obligated to break confidentiality under the following circumstances:
- If there is a threat of harm to the Student or others.
- If physical or sexual abuse or neglect of a minor is suspected.
- If required to comply with a court order or subpoena.
- In any situation where disclosure is required by law.
4. Assumption of Risk, Waiver, and Release
I understand that as part of the executive function coaching services provided by Untapped Learning (“Untapped”), my child will engage in activities that involve high intensity movement, which may include but are not limited to soccer, football, and Spikeball (the “activities”). I recognize that these activities can involve the risk of injury and/or exposure to illness.
In consideration for participation in Untapped’s programs, I AGREE TO EXPRESSLY ASSUME ALL RISKS OF INJURY and EXPOSURE TO ILLNESS that might be associated with the activities, and, to the fullest extent permitted by Colorado Law, I HEREBY WAIVE AND RELEASE FROM LIABILITY Untapped, Brandon Slade and their/his partners, employees, agents and volunteers (collectively, the “Parties”) from any damage or injury arising from my child’s participation in the activities.
I understand that this release and waiver prevents me, or anyone acting on my behalf, from filing suit or making any claim for damages in the event of injury or illness arising out of my child’s participation in the activities. However, in the event that any person acting on my behalf files a lawsuit arising out of my child’s participation in the activities, I AGREE TO DEFEND, INDEMNIFY AND HOLD HARMLESS the Parties for any damages, attorney’s fees or costs associated with or arising out of such lawsuit.
With a complete and full understanding of the terms of this ASSUMPTION OF RISK, WAIVER AND RELEASE, I acknowledge that I enter into this agreement voluntarily and agree that it is binding upon me, my heirs, assigns and any other person acting on my behalf.
5. Public Health and Safety Policy
During public health crises, Untapped Learning will follow all applicable local, state, and federal guidelines. These guidelines may change without notice.
If a center is required to close due to public health concerns, all sessions will transition to a virtual format.
Students, parents, and Coaches are expected to comply with any public health-related rules. Virtual sessions are available for those who are uncomfortable with in-person attendance.
6. Media Release
Untapped Learning reserves the right to use, reproduce, and distribute media in which your Student may appear for promotional, advertising, and educational purposes in perpetuity, across all media types, whether known now or developed in the future.
Families may revoke this permission at any time by completing this form.
Untapped Learning is released from any liability related to the use of such media.
7. Data Release and Consent
Students may be invited to participate in optional research activities, such as surveys. Participation is voluntary and can be declined or withdrawn at any time without penalty.
Collected data may be used for educational research, marketing, or academic publication. However, Personal Identifiable Information (PII) will never be disclosed unless legally required. All data used for research or publication will be anonymized.
Untapped Learning may share anonymized data with institutional review boards or other researchers to ensure safety and integrity in research practices.
8. Recording and Transcription
Coaching sessions may be recorded or transcribed for internal purposes, including training, educational assessment, and quality assurance.
These materials will not be shared externally or used for promotional purposes without additional written consent. Any research use will follow strict confidentiality and anonymization protocols.
Untapped Learning is released from any claims related to the use of such recordings or transcripts for internal development and research.
9. Agreements
9.1 Terms and Conditions
By engaging with Untapped Learning services, you agree to abide by these Terms and Conditions. Untapped Learning reserves the right to revise these policies at any time, with or without prior notice.
9.2 Authorized Forms of Payment
Untapped Learning accepts credit card payments, or direct debit (bank authorization) payments. No other forms of payment are accepted.

9.3 Billing Authorization
By agreeing to these terms and conditions I authorize Untapped Learning to debit or credit my account by ACH or credit card (note: credit cards incur a 2.9% convenience fee) in accordance with the terms above. I understand a Chargebee account will be created for me to manage payment information. If I already have a Chargebee account on file, I authorize Untapped Learning to charge my payment method on file.
